can we submit fests that are coming soon or should we wait until interest check or prompting begins?

If you are the fest mod, you can submit your fest to the tracker as soon as you'd like! If you are a volunteer, I would reach out to the fest mod to confirm before you submit the info. Some fest mods want to plan our their announcement schedule, and adding to the tracker before they are ready could interfere with their plans. Thanks!

i absolutely love your spreadsheets! i was wondering do you manually shift the fests that are available or is there a function on sheets that allows it? an ex. is when a fest goes into resting, but it previously in author reveals, did you manually move it down or something else? (sorry it's so cool and i wanna know).

Hello! The spreadsheet is automated based on dozens of functions. I don't manually update fest status, that would take so much time that I don't have (and really, no one has!).

Hi! I tried DMing you about this on Twitter, but it looks like Twitter is sort of broken right now... Anyway, speaking of broken things: Did something happen to the tracker? Everything is blank and every fest is marked as "resting"

Hello. This is a late reply, my apologies. I don't see the issue you describe, so I hope it was a temporary issue that has been resolved. If you are still experiencing this, please reach out so we can troubleshoot further.

Hey, I sent a DM but don't know if you saw it so figured I'd ask here too. Are you still active? I was starting to make something like this but then discovered yours

Hello! The tracker is automatically updated and will continue to function so long as users submit data. :)

Hello Mods!! The BTS Angst fest is in their claiming period but it's still showing promoting period in the tracker. Kindly fix this error

I recommend finding the correct dates and submitting them to the data form when you encounter issues like this.
https://tinyurl.com/fic-data

The fest has been DM'd to get accurate updated schedule dates.

hello, so sorry to bother you since I saw you reply to another person about this issue, but the tracker isn't working for me and I'm wondering if it's working for anyone else? all the coming soon/claiming /prompting etc squares are all marked as zero and when I click on "fest's" it shows nothing :(

Hi! I'm so sorry you experienced an error. It's not just you, but it has been fixed for now.

We are working to understand the issue so we can fix it!

Hi. I plan to run a fest but I'm pretty new to the idea. My no.1 worry is lack of support. Is there like a minimum participant number when running one? If you have an insufficient number of participants for a fest, like very few writers/prompters that are willing to participate, do you cancel/close it? I'm not sure who to ask this, sorry for the trouble haha. It would be appreciated if you/the other fest mods that see this can give out some advice on running a fest/adveritisng one! Thank you so much. 🤍

I am sharing this question - current/past fest mods, can you reply/quote with your thoughts for this anon and any advice you have?

hey, just wanna ask. how should we deal with inactive mod/s for a fest? this one had been inactive since last year, and i'm a little hesitant to submit my fic and just let it sit there like that. any thoughts?

Hello! I am so sorry to hear that.

In my personal opinion, if a fest has been inactive for over a year, I would not submit work. Try reaching out to the mods personal twitters, if public.

All else fails, there are SO many fests. I would encourage you to check the tracker for fests that are in claiming still. Check to see where your fest would fic theme-wise and if the fest allows self-prompts. Then submit!

Good luck.

When we update existing fests, do we need to add new datas only or put the existing ones again as well?

Anonymous Coward · 2y

hi, will you be track bingo events or fanweek events in the future? thank you for your hard work!

Yes, tracking bingos has been on the agenda. It's live now but missing a lot of dates.

Anonymous Coward · 2y

hi! i hope this is okay i just wanted to give a heads up that the rm playlist fest is open for prompting right now but it's labeled as 'resting' in the tracker!

Thanks for letting me know. I added in the rest of the fest scheduled dates.

Anyone can submit date info in our Data Collection Form:

https://tinyurl.com/fic-data

It is best to either submit data to the form or DM on twitter for the quickest results.

You know how there are some nuances about certain things? Like after a certain date it shows unavailable etc, those things you explain to us. Would you put them on the tracker as well? As an info page or something.

Anonymous Coward · 2y

Hi. I'm a fest mod and our fest is included in your tracker. We are currently in reveals but the status for the fest is unavailable in your tracker. Where do you take the info from?
I also noticed that a few other fests that are doing/starting reveals are also listed as unavailable.

The best practice is to DM or send in a form when you have reveals dates set. This updates the data in the tracker.

Fests without reveals dates were showing as unavailable (due to a function of how the tracker automation works), however I made some changes to fix this.

When a fest does not have a reveals date, the tracker will automatically set them as follows:
Fic Reveals: 7 days after works due
Author Reveals: 21 days after works due

These due dates were chosen based on averages of the current fests in the tracker.

Submitting a new form to update fest reveals date will override these assumptions.

Thanks for your question!

The 200 namgi world tour fest is listed under unavailable instead of claiming and I can't understand what data is missing to correct it.

It is showing unavailable because the tracker says the fest claiming period begins on May 7th, which is tomorrow, and prompting has closed.

The days in between Prompting and Claiming displays as unavailable.

Anonymous Coward · 2y

since the tracker was started recently, should old fests from 2020-2021 be added as well or are they considered too old ?

My current focus is to capture active fests/projects. However, if someone feels up to entering that data, go for it.
